I recently applied for a Japan Visa for the first time and successfully received a Single Entry Visa. To help you out, I’ve put together this guide based on my experience, including the latest requirements from the Embassy of Japan in the Philippines
and VFS Global.
Basic Document Checklist
Ensure all documents are original (unless specified) and printed on A4-sized paper.
- Valid Philippine Passport: Must have at least two blank pages and be in good condition.
- Passport Bio Page Copy: A clear, colored photocopy of your passport’s information page.
- Passport-Sized Photo: (4.5cm x 3.5cm) with a white background. It must be taken within the last 6 months and have your name/birthday written on the back.
- PSA Birth Certificate: Issued within one year.
- Note: If you have a used Japan Visa in your passport, you usually don’t need to submit this.
- PSA Marriage Certificate: (For married applicants) Also issued within the one year.
- Japan Visa Application Form: This must be computerized; handwritten forms are often rejected. You can download the official form here.
- Daily Itinerary (Schedule of Stay): A realistic plan of your trip. Download the official form here.
💡 Important Traveler’s Tip
One of the biggest misconceptions is that you need to buy tickets first. Confirmed hotel bookings and flight tickets are NOT required for the application. The Japan Embassy and VFS actually discourage purchasing tickets until the visa is granted. You only need to provide the name and address of the hotel you intend to stay at.

Financial & Employment Requirements
All documents must be original unless stated otherwise and must be issued within the last 3 months (except for PSA certificates, which are valid for 1 year).
For Employed Individuals
If you are working for a company, you must prove both your stable income and your “ties” to the Philippines.
- Bank Certificate: Original, issued within 3 months, showing the 6-month Average Daily Balance (ADB).
- Note: If your bank certificate does not show the ADB, you must also submit a Bank Statement to show transactions from the last 6 months.
- Bank Statement: If your ADB is not on the certificate, submit original statements for the last 6 months.
- Certificate of Employment (COE): Original, including position, salary, tenure, and HR contact details.
- BIR Form 2316 (ITR): A clear photocopy of your latest ITR.
For Business Owners & Self-Employed
The embassy requires official registration documents to verify your business’s legitimacy.
- Bank Certificate: Original, showing 6-month ADB.
- DTI Registration (Sole Prop) or SEC Registration (Corporations).
- Mayor’s Permit: Photocopy of your current, valid permit.
- BIR Tax Payment Certificate: Proof of actual tax payment (Form 1701/1702).
For Students & Minors
- School ID & Enrollment Certificate: A photocopy of your current School ID and an original Certificate of Enrollment.
- Guarantor Documents: Since students usually don’t have their own income, a parent or guardian must act as a guarantor (see below).
For Unemployed, Retirees, or Freelancers
If you cannot provide an ITR or COE, don’t worry! You can still apply by providing:
- Letter of Explanation: A written explanation addressed to the Consul explaining why you lack the documents (e.g., “I am a full-time freelancer and currently processing my BIR registration”).
- Retirement Documents: For retirees, a photocopy of your Senior Citizen ID or retirement papers is helpful.
- Bank Certificate: Original, showing 6-month ADB.
Applying with a Guarantor
If a relative or friend (residing in the Philippines) is funding your trip, they are your Guarantor. You will need to add these to your application:
- Guarantee Letter: An official form filled out and signed by your guarantor.
- Proof of Relationship: PSA Birth or Marriage Certificates to prove how you are related. If not related, photos together or email exchanges may be required.
- Guarantor’s Financials: Their Bank Certificate (with 6-month ADB) and their ITR (Form 2316/1701).

Frequently Asked Questions
- How much “show money” do I need?
Answer: There is no official minimum. However, travelers suggest a safe range is ₱10,000 per day of stay plus accommodation & airfare. Stability (ADB) is more important than a one-time big deposit. - Do I need both a Bank Statement AND a Bank Certificate?
Answer: Only if your Bank Certificate does not show the 6-month ADB. Official Japan Embassy guidelines state that if ADB is missing, the statement is mandatory to prove transaction history. - My ITR is missing/new. Will I be denied?
Answer: Not necessarily. You must submit a Letter of Explanation explaining the situation (e.g., new job, freelance status). - Can I apply if I have a guarantor/sponsor?
Answer: Yes. You must submit a Guarantee Letter and the guarantor’s financial documents (Bank Certificate and ITR). - How long does processing take?
Answer: Usually 5–10 working days, but it can take longer during peak seasons (Cherry Blossom or Christmas). Apply at least 2 months before your trip.
